JOB DESCRIPTION:

Summary/Objectives:

The Sr. Administrative Assistant helps senior leaders in the organization maximize their efficiency by providing them with exceptional administrative support.   Will be responsible for providing administrative support to a department or group of leaders as assigned.   

 

Responsibilities include:  Ensuring that the function runs smoothly by taking ownership and having strong organizational skills.   Providing administrative support to ensure efficient operation of the area of responsibility.  Supports managers and employees through a variety of tasks related to organization and communication.   Responsible for confidential and time sensitive material.    

 

Must have ability to effectively communicate ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.   

 

Sr. Administrative Assistants will have access to confidential information and expected to agree to a Non-Disclosure Agreement.   

 

Essential Functions:

  • Provide direct support to assigned senior leader(s) or function(s), including:   
    • Preparing presentations 
    • Preparing and submitting written correspondences (internal and external)
    • Arranging travel
    • Ordering office supplies  
    • Answering telephone calls and messages
    • Scheduling meetings and maintaining calendars - organizing meeting requests by level of urgency.
    • Create and maintain filing systems
    • Running reports and maintaining KPI dashboards.
  • Senior Administrative Assistants are responsible for planning meetings that involve senior management. They are also responsible for sitting in on the meeting and taking meticulous notes, as well as keeping the meeting on task
  • May be assigned special projects for the site.        
  • Responsible for managing programs within KBC - may include Employee Events, KBC Cares, Global Care, Green Initiatives.
  • Develop and Implement Office Policies and Procedures.   
  • May create and deliver presentation material.
  • Maintain a safe, clean and healthy environment and ensure the compliance with company's rules and policies.
  • Must be able to comply with quality, product safety, and HSE rules, guidelines and regulations. Be energy conscious, if applicable.
  • Must understand and comply with applicable standards. ( i.e.: ISO 9001, ISO/TS 22163, ISO 14001, ISO 45001, ISO 50001, and CMMI).
  • Maintain and safeguard business records

 

Technical Competencies:

  • Must be proficient with Microsoft Office, Word, Project & Excel.
  • Ability to learn new and evolving software programs is a must.
  • Prefer to have Microsoft Access and SAP or ERP system knowledge.

Education and Experience:

  • Associates degree and/or 6-8 years related experience
