Position Title:            Specialist, Talent Acquisition Immigration & Compliance

Reports To:                Manager, Talent Acquisition N.A.

Position Summary:


The Immigration, Compliance, & Talent Acquisition Specialist is responsible for the Bendix immigration & VISA processes, Talent Acquisition Compliance, as well as coordination tasks as assigned. This position contributes to the overall success of the team by providing a high level of customer service and project coordination across the talent acquisition process


Essential Functions:



  • Manage I-9 & E-Verify program ensuring complete and accurate records for full compliance.
  • Manage background check and drug screening program and compliance
  • Conduct regular data and departmental audits
  • EEO/AAP Reporting
  • Support the HR Team to ensure compliance with all local, state, federal, & international employment regulations


Immigration Management

  • In partnership with outside immigration counsel, responsible for the oversight and support of all US immigration cases including but not limited to B-1/B-2, H-1B, F1, J-1, L-1A/B, TN, E-3, PERM, I-140 filing, I-485/AOS.
  • Work with business units, employees, managers and talent acquisition team to inform an understanding of all visa requirements and ensure compliance with any work authorization limitations.
  • Communicate immigration requirements, government procedures, policy/process documentation, and case processing times to HR Business Partners/Talent Acquisition, employees and managers.
  • Assist with prioritizing and managing immigration timelines, including renewals and expiration dates, as well as the H-1B Cap lottery.
  • Assist with designing and developing immigration resources for managers, HR Business Partners/Talent Acquisition, and associates including FAQs, internal policies, and process documents.
  • Responsible for other U.S. ad hoc immigration issues, as necessary, such as collecting business approvals, drafting overseas travel support letters, providing experience letters to former employees applying for green cards.
  • Audit and process immigration invoices received from outside immigration counsel. Ensure high level of service being provided by outside immigration counsel.
  • Perform periodic I9 audits.


Talent Acquisition Coordination

  • Route job offers for internal actions and draft all internal & external offer letters
  • Prepare job offer packet for employee file and submit to HRIS for processing
  • Mail new hire packets
  • Perform administrator duties for SilkRoad On-Boarding System.
  • Facilitate New Hire Employee Orientation and manage presentation, schedule of attendance, changes to agendas, etc.
  • Build employee files and manage flow and completion of New Hire paperwork.
  • Process and manage new shopping carts and POs for department.
  • Process invoices, check requests and non-employee expense reports for TA and HR.




  • Minimum 2+ years of experience in an Administrative or Coordinator position in a staffing, recruiting or HR department, or another related corporate environment.
  • Demonstrated experience in immigration with a willingness to learn full life cycle of H-1B, L-1A/L-1B, B-1/B-2, Permanent Resident/Green Card filings and extension processes.
  • Experience with web-based or automated applicant tracking systems.
  • Experience with employment-based immigration case management preferred.


  • Meet assigned deadlines and communicate case progress/status/issues to supervisor.
  • Ability to handle sensitive matters and navigate confidentiality with transparency, address complex situations and communicate impact effectively, work effectively and collaboratively across functions.
  • Experience reviewing company policies and practices to determine appropriate action.
  • Strong technical aptitude and demonstrated ability to leverage technology tools to create efficiency, improve processes and client experience
  • Strong critical thinking, analysis, and problem-solving skills as well as conflict resolution skills, including the ability to negotiate and influence others.
  • Excellent written and oral communication skills including grammar, spelling and punctuation thus enabling the incumbent to work with top level management and other executive clients.
  • Excellent organizational skills and detail oriented that enable efficient and effective multi-tasking.
  • Ability to be flexible and remain at ease under frequent-changing situations and schedules.
  • Able to build relationships both internally and externally.
  • Demonstrated bias for action with strong follow-up and follow-through on deadlines, providing feedback in a timely manner. 
  • Project management:  Able to manage projects; attain results; follow-up to ensure completion of cycle.
  • Must have strong problem-solving skills with the ability to make decisions in a fast-paced environment. 
  • Proficiency in Microsoft Excel, Word, & PowerPoint



  • Bachelor's degree Business Administration, Human Recourse Management, Organizational Communication, or a related field preferred.
