JOB DESCRIPTION:

                       

Position Summary: 

 

The position will be responsible for planning and coordinating key company events and meetings that are driven out of the Sales & Marketing function.   

 

Essential Functions:

 

  • Responsible for every aspect of event planning and coordination of all details relating to Sales & Marketing department and customer events.
  • The events include, but are not limited to:
    • North American Sales Meeting
    • Fleet Council and Distributor Advisory Council
    • Company Demo Events – Scheduling, coordinating and administration of all demo team events.
    • Key Customer visits, including acting as a host to the events.
    • Trade Shows as necessary
  • Initiate, lead and ensure execution of assigned events including but not limited to venue selection and recommendation, contract negotiations, logistics, room set up / AV needs, food service, vendor management and coordination.
  • Track and manage event specific expenses and ensure budgets are met.
  • Provide excellent customer service to both internal & external customers
  • Serve as point of contact with appropriate hotel and venue staffs to arrange and monitor all aspects of events.
  • Member of the demo team responsible for securing demo location, facility requirements and vendor management; Role does travel with the demo team to locations across the continental U.S.
  • Manage event registrations lists and attendee databases as required
  • Assist in maintaining Outlook schedules to coordinate on-going meetings and functions:  Sales and Marketing events, customer events, board meetings, leadership team meetings.
  • Perform a variety of coordinator duties, which may be complex and confidential;
  • Develop event invitations and promotional material as required
  • Could be requested to attend meetings, conferences as required: Take meeting notes; assist in managing meetings, conferences, etc.
  • Assist in the administration and coordination of vendor payments.
  • Must be willing to travel up to 50% of the time

  • Excellent vendor management skills.
  • Must be able to make decisions and include others as required.
  • Must be an assertive individual who takes initiative and leads by example; a person who transforms an event through hard work and has a drive for excellence with a positive personality
  • Creative thinker, demonstrated through event planning from ideation to execution.
  • Outstanding communication skills both written and oral.
  • Must be able to deal with vendor contracts and drive cost effective discussions for the business. 
  • Must work well under pressure and handle multiple projects simultaneously
  • Ability to work well with all levels of management as well as outside external clients and vendors
  • Must work cooperatively with others to achieve team goals
  • Must be energetic, hardworking, and willing to put in an extra effort when required. 
  • A self-starter who has the ability to prioritize and work independently or with minimal supervision
  • Proficient in MS Office.
  • Strong contract negotiation, budget, and financial management skills

 

Knowledge:

 

  • Networking knows how.
  • Knowledge of the 5 C’s of Event Management. 
  • Financial knowledge and budget planning.

 

Experience:

 

  • A minimum of 3 years of experience in an event planning role.
  • Proven experience as a successful professional in the hospitality and event industry.

 

Education:

 

  • Bachelor’s degree required in Business Administration, Marketing, Communications or Public relations preferred or a related field.
